Employee Benefits

This document is designed to provide clarity to non-mandatory employee benefits within amazee.io. In principle and where possible the new structure sets out to synergize employment benefits and policies across amazee.io. This is not an exhaustive list and does not include fundamental benefits such as US Healthcare, Pensions, or legally obliged contributions by amazee.io.

Employee Benefits

In general, the Employee benefits, unless otherwise stated, become available from day one of your employment or contract with amazee.io.

Benefit contributions (time and money) and additional benefits of part-time employees (education and health and wellbeing budget) are defined according to the percentage of employment (e.g. 60% of the normal educational budget with a 60% ongoing employment). The tech budget is the exception in this case, and the full amount will be available irrespective of the working percentage. All budgets are available in full upon their respective renewals and qualifying periods, but will be prorated throughout each year. If an employee leaves mid way through the year then the benefit is prorated back. e.g. If an employee leaves as of July 1st, then any yearly benefit would be 50%. Any used benefit amounts exceeding the prorated benefit available for the terminating employee may be recovered by amazee.io through the employees final salary. In the case of someone joining the company midway through the year, the benefit is also prorated for their first calendar year. Generally speaking, unused benefits cannot be accumulated, or in the case of yearly benefits, rolled over into ensuing years. If you have any doubt with regards to what is or isn’t covered, then you should speak to your lead or to HR.

Tech Budget

Initial Set Up Costs

When onboarding a new employee, amazee.io will arrange and pay for a new device and peripherals for the employee to conduct their daily work. There is no fixed amount assigned to these costs as they generally differ heavily across regions and regularly fluctuate. amazee.io will suggest recommended setups to new employees based on their roles, mainly using Mac. However, we remain flexible to customization as required. All items purchased under this policy remain the property of amazee.io, unless an employee buyout has been approved (see below). The initial setup will include the following:

  • 1 Computer

  • 1 External Monitor (optional)

  • 1 External Keyboard (optional)

  • 1 External Mouse (optional)

  • 1 Headphones (optional)

  • Dongles, extra hardware/software etc as required

  • 1 Mobile Phone (depending on your role, see below)

Computer renewals

Computers are eligible for renewal every 2 years. A request for renewal can be made by logging a support request on the GSA help desk. Once a renewal has been signed off by your lead, amazee.io will arrange for your new equipment to be delivered. Your old computer will be assessed by the GSA team for one of 2 purposes:

  • amazee.io may choose to keep it as a spare computer

  • It may be resold by amazee.io to refurbishing company/back to original seller

If neither of these two options are taken by the company, then you will be allowed a buyout of the old computer (see below). If this is desired by you, then you should mention this in your original support request to GSA. The Group Operations team will then assess the buyout cost of your equipment and notify you prior to moving forward.

Screen renewals

External screens are eligible for renewal every 4 years and are dealt with in the same way as computer renewals, with a support request being sent by yourself to GSA, to be signed off by your lead. The GSA team will then go through the same assessment process before offering you a buyout.

Peripherals budget

You have a yearly budget set aside for peripherals, the amounts vary per region (see below). This budget becomes available following your first 12 months of employment, and renews every calendar year thereafter. Any usage of this budget requires prior sign off from your lead. Once you have this you can settle and then expense the cost as “tech expenses” via the expense process. This budget is designed to cover costs of equipment/hardware outside of computers and screens, and that which usually needs replacing sooner. The following are examples, but not an exhaustive list of what is covered by this budget:

  • Keyboards

  • External Mouse

  • Headphones

  • Dongles

  • Misc. such as charging decks, adapters and cables, etc

If you have any doubt about what is or isn’t covered, then you should speak to your lead or to HR.

All items purchased under this budget will remain the sole property and responsibility of the employee. They therefore do not need to be bought out by the employee.

Storage devices may be bought with the peripheral budget. However, they remain company property and underlying specific data management policies.

Peripherals with any form of storage capacity are not permitted to store any company data, except for system backup purposes. Backup devices must be fully encrypted and returned together with your personal computer/laptop during off-boarding.

Mobile Phone

Depending on your role at amazee.io, you may be eligible to receive a company owned mobile phone (COPE) in case you do not want to use your personal phone for conducting company business. These roles are:

  • Management including workstream leads

  • Members of the Sales and Platform Ops workstreams

If you are not provided with a mobile phone feel free to use your own device (BYOD) to access company communications and data services, should you choose to. In which case you are required to comply with security guidelines. This may in the future include installing an app which can ensure appropriate security measures are in place. The specific policies and processes are currently in creation and will be communicated in time before enforcing them.

Note: It is not expected of any one single person to be online and/or available around the clock. The BYOD policy is put in place for the sole purpose of managing how company communication and data services are accessed and secured.

Education Budget

The Education Budget is a financial and time investment in your continued development and growth. This is a yearly benefit, renewable each calendar year. The amounts vary per region (see below).

The purpose of this budget is to provide additional resources for you to develop your work related skills. This could be an online course, used as a contribution towards larger professional goals such as certifications or diplomas, or used to augment existing activities, such as DrupalCon or other events when you aren’t already attending at the request of management. You should work with your lead, and pitch professional development activities to them during each half yearly review. Any usage of this budget requires prior sign off from your lead. Once you have this you can settle and then expense the cost as “education expenses” via the expense process.

You are also granted up to 5 days paid leave to attend courses, events, exams etc. relating to any agreed use of the Professional Development Budget, in addition to your PTO. This leave must be signed off by your lead and can be requested via BambooHR under “Conferences and Events”. Any unused benefit will not roll over into subsequent years.

Health & Wellbeing

The Health and Wellbeing budget is provided with the intention of supporting maintenance of, and improvements to your physical or mental health. This is a yearly benefit, renewable each calendar year. The amounts vary per region (see below).

This benefit may be used for gym subscriptions, purchasing of sports equipment, medical health assessments, counseling, physical therapy etc. The benefit should be used for things which aim to improve your long term health or wellbeing, and not for one-off events such as a ski day pass etc.

Any usage of this budget requires prior sign off from your lead. Once you have this you can settle and then expense the cost as “health and wellbeing expenses” via the expense process. Any unused benefit will not roll over into subsequent years.

Connectivity

As a globally remote company, we will provide reimbursement towards a portion of your connectivity related costs such as internet/phone connection. This is a set monthly amount available in full, immediately upon starting with amazee.io, for each month you are working for amazee.io. This benefit is provided to help cover the costs associated with working remotely and must be spent on work related costs. Each month you should send an expense report, expensing the used amount as “connectivity expenses” via the expense process. Any unused benefit will not roll over into subsequent months.

Amazee Extreme

After three years of consecutive full-time employment, Amazees get one month off, paid, to free their mind and to fulfill a personal challenge which thrills them and grows them as a person. To be eligible, the project must fulfill the following criteria:

  • Project lasts for a max of 30 days and takes you to your physical and/or mental limit

  • Employee has more than 3 years of consecutive full time employment (100%); max. every 3 years; can't be accumulated

  • Project is announced to your lead and CEO at least a year in advance

  • Timeframe is approved by your Lead and CEO (when the employee is a CEO, then approval is required by their Board of Directors)

  • Project subject must be approved by the Chairman of the Amazee Holding (Gregory)

  • The preparation and execution of the project must be documented online, e.g. with a dedicated website or blog to be available for posting on an Amazee website

The purpose of Amazee Extreme is to do something very personally challenging and is not to be considered a standard sabbatical.

Employee Referral Program

We recognize the vital role we all play in representing amazee.io and in bringing in and nurturing talent. Employees represent one of the best recruitment sources available through their relationships and networks. For this reason we have an Employee Referral Program. If you succeed in recruiting a new colleague, you’ll receive a bonus. The amount paid out varies based on currency, but is largely irrespective of the role or candidate location. There are some terms to this program:

  • The successful candidate must have named you in their initial application as their referee

  • You will only be eligible for the bonus once the successful candidate has completed 6 months of employment

  • The candidate must not have previously applied to a role with Amazee Group

  • Members of the management team and/or HR are ineligible for this program

  • This successful candidate must be employed on at least and 80% workload, and the bonus is prorated. e.g 80% contract = 80% of the bonus (800 USD)

  • No bonus shall be paid for the recruitment of trainees, apprentices, employees working for an hourly salary, or temporary employees

  • The candidate must have been through direct contact, and not through an employment agency, representative, or external partners

  • The candidate must not be a previous employee, freelancer, or contractor of Amazee Group

  • If you have left Amazee Group, or are serving your notice period following or during the 6 month qualifying period then you are ineligible for this bonus

The bonus will be paid directly into your salary following successful completion of the terms above.
